Is there a way to delete a student that is no longer training?

Yes, you can delete a student by editing their profile, but the team at Martialarts.io would strongly discourage completely deleting a student because it could skew your school statistics. Instead opt to mark the student as 'inactive'.

To do this you would edit the student's profile and uncheck the "Active" button. By setting the student as inactive, you will no longer see the student in your active student lists and they won't appear in your list of students for attendance, promotions, or anywhere else.

Doing it this way will allow you to keep accurate school statistics for your account dashboard and if you need to reactivate a student, you can do so with one simple click. All of that students' attendances, payments, promotions, todos, and more, will be there for you without any additional steps.

Is there any way to count the number of classes a student attended since getting a stripe or belt promotion?

Yes! Navigate to your student's profile and press the promotion tab. Here you will find a progress bar that records the number of classes attended since their last promotion. This attendance number counts up to the class attendance requirement for their next stripe or belt. You can set that requirement by editing the belt they are working towards in the School Settings tab.

If you feel that your student is ready to be promoted to their next stripe or belt before they meet their belt class attendance requirement, you can easily do so by clicking the 'Promote' button to the right of their progress bar.

Or if you feel that your student needs a bit more time on the mat before their promotion, simply let the counter keep counting attendance beyond the requirement. Once you feel they're ready, then go ahead and promote them later.

How do I add my schools' belts? What about colors and stripes?

You can easily add your schools' belts in our 'Belts' component under 'School Settings'. Just simply click 'New Belt' and from here you can add a belt name, the number of stripes, the attendance requirement, and the rank code.

If you want to change the belt color, just click on the belt and a selection of colors will appear. From these colors you can choose a color for your belt, both top and bottom (for belts with multiple colors), and you'll be ready to save your newly created belt.

You can also sort your belts by using the 'Sort Belt' button and clicking and dragging the belt to the correct position.

How do I promote a student?

You have two ways to easily and quickly promote a student:

1.) You can promote a student in the promotion tab of their Student Profile; you can find their student profile by simply clicking on the student from the 'Students' list. Here you'll find a 'New Promotion' button to the right of their progress bar. You can pick the date of their promotion, their current belt, the belt they are promoted to, and any notes about their promotion.

2.) Or you can promote a student in the 'Promotions History' tab located in the left side bar (if on a desktop) or in the top left corner (if on a mobile device). On this page, you'll find a 'New Promotion' button in the top right corner. You can pick the student, date, their current belt, the belt they are promoted to, and any notes about their promotion.

You can use either of these methods for stripe promotions, just instead of a next belt, it's the same belt color with the next number of stripes.

How do I add a student's class attendance?

You have three ways to easily log a student's attendance:

1.) The easiest and most convenient way to record student attendance is by using Martialarts.io's Kiosk feature. You can use our kiosk feature on an iPad or a desktop computer in your academy, where students can sign-in for class themselves. This automatically saves a student's attendance and the time they signed-in. If you want to find their attendance later, you'll be able to find their attendance in their Student Profile or in Attendance History. You can find the Kiosk feature under the 'Attendance' tab in the left-side menu bar.

2.) The next easiest way to quickly log attendances yourself is to use our Power Entry feature, located under the 'Attendance' tab in the left-side menu bar. Here you can select a date and time, a student, write any notes about attendance, and save the attendance quickly.

3.) The final way to log a student attendance is inside their Student Profile. Locate the attendance tab, then simply click the 'New Attendance' button and enter the date, time, and any notes.

Can I connect the software to an iPad so the students can check-in for class attendance themselves?

Yes! The easiest and most convenient way to record student attendance is by using Martialarts.io's Kiosk feature. This automatically saves a student's attendance and the time they signed-in.

If you want to find their attendance later, you'll be able to find their attendance in their Student Profile or in Attendance History.

Can I see if a student is eligible for a promotion (belt or stripe)?

Yes! You can find all the students eligible for a promotion under 'Promotable Students' in the 'Promotions' tab on the left-side menu bar.

In the promotable students list, you can see the student that is eligible for promotion, their last promotion date, their progress bar, and the belt or stripe the student will be promoted at.

To promote the student, simply click on the student's name and promote them in their student profile through the promotion tab.

Can I send an email(s) to all of my active students for important announcements?

Yes! You can use Martialarts.io's Email Blast feature. Easily and quickly send an email to your students about an important announcement. You can even choose with students get the email with one click: active students, all leads and students, all students, inactive students, or just leads.

Once you write the email it will be saved, not sent. The email blast's status will be pending until you press send. Simply click on the email blast you want to send from the list, then press 'Blast Now' once you're ready.

You can find the 'Email Blast' feature under the 'Marketing' tab on the left-side menu bar.

How do I convert a potential student (lead) into an active student?

You can update your potential student (lead) every step of the way to a full, active student. You can follow their progress from an Inquiry, to an Appointment, to an Intro, to a Trial, and finally once they're ready, convert them to a student.

Do this in the Lead's profile page. Find this in the 'Marketing' tab on the left-side menu bar in Leads list. Press on the lead you want to convert to a student and you can do this easily in the top right dropdown on their profile.

When you convert a student to a lead, all their information will be saved in their student profile and they will immediately show up in your Students list. The newly converted student will automatically be given the first belt in your belts list.

Can I have multiple schools in the software?

Yes, you can have multiple schools linked to your account! Email support@martialarts.io to get another school linked to your account and we can help you.

If you already have an existing school and want to access it, simply navigate to the dropdown at the top of the left-side menu bar. You can access your account dashboard or your other school in this dropdown.
